Rules and Regulations

  • KRC follows an open-access system with CCTV surveillance to monitor the entire Library.
  • The library is a place for individual study and research, so users must maintain silence, dignity, decency, and decorum. So, everyone is advised to turn their phones to silent mode when visiting the library.
  • A valid University ID card is compulsory to access the library and borrow materials
  • All users should scan their ID card before entry and exit using the electronic log system at the library entrance.
  • Keep the baggage at the KRC property counter and collect the token from the security guard without fail.
  • The library and staff are not responsible for the loss of any valuables from the counter.
  • Collect the baggage before you leave the library; the library is not responsible for your bags after closing
  • Any loss or damage of Property counter token is liable to pay Rs.100/-.
  • It is bound duty to respect the academic and professional atmosphere of the library by decent attire. Please follow the dress code policy of the University.
  • Bags/Eatables/Brews (except Water) are strictly prohibited in the library.
  • Users can utilize the electronic devices within KRC solely for academic purposes except the Digital Library.
  • Misuse of personal electronic devices is strictly forbidden, and if discovered, it will be seized.
  • Using headphones or ear pods is essential while listening to audio and watching videos.
  • Users cannot bring personal printed materials or borrowed Library books into the library for study purposes.
  • KRC follows the standard Library classification system - Dewey Decimal Classification (DDC), for arranging the books on the shelves.
  • Reference books, theses, current print journals, bound volumes of journal back issues, newspapers, and magazines will not be issued and can be read within the library.
  • To check the location and availability of a book, OPAC (Online Public Access Catalogue) systems are available in all the sections of KRC.
  • Users are to leave the library reading materials on the tables; the KRC staff will shelve these items back in their original location.
  • Users can borrow books and other items from the lending section, which consists of books, CDs, DVDs, and Kindles per availability
  • Digital resources such as e-journals, e-books, databases, etc., are accessible at the Digital Library of KRC.
  • Manuscripts, books, magazines, and other items can be donated to the library by individuals. Once accepted, these gifts pass entirely into the University's ownership.
  • KRC Security guard is authorized to check items, such as notepads, books, and laptop covers, before the users leave the library.
  • All Library fines are collected via GITAM Pay (G-Pay) only.
  • Photocopy, Printing, and Scanning services are outsourced to the shop within the KRC building at a cost.
  • Users cannot take out any material from the Library without issuing the item at the lending section. Any violation may lead to disciplinary action.
  • Alumni of GITAM (Deemed to be University) can use the library reference services using their alumni card. They are not eligible to borrow any materials from KRC
  • The Library facility will be restricted or suspended in case of misbehavior or misuse.
  • A User can suggest/recommend books by email, Web OPAC, or the suggestion register/box available in all the sections of the Library.
  • All transactions at the circulation desk will close 15 minutes before closing hours.
  • Library staff will inform the students 15 minutes before the closure of the section. The staff will also provide a reminder 5 minutes before closing. Users will have to vacate the section before the closing time

  • Books available in the course reserve collection or the lending section are for borrowing.
  • KRC's lending section is fully automated. There is no manual issue or return of any Library materials.
  • A User can borrow books, CDs, DVDs, and Kindle from the lending section as per their eligibility.
  • Reference books, current print journals, bound volumes of journals, theses, newspapers, and magazines are for reference only.
  • Users must verify the borrowed book(s) or items before leaving the circulation counter.
  • Users cannot borrow any Library item on behalf of others.
  • A user will receive an email for every transaction like Library Account registration, Check-in, check-out, renewal, fine collection, and over-due notices. Non-receipt of reminders is no reason for returning books late.
  • Alumni are not eligible to borrow books or any item from the Library

  • KRC collects Rs.5/- for each book per day from the defaulter. Users are to pay through GITAM Pay (G-Pay) only.
  • It is unacceptable to cite absence from the University as justification for delaying the return of the borrowed items.
  • User is solely responsible for lost or damage of books in any kind.
  • The user can replace the lost or damaged book with a new copy of the same or most recent edition. If the book is out of print or unavailable, the user will have to pay double the cost of a book for National Publications and four times the cost, if it is an International Edition. The price of the book will be calculated using the Publisher's Catalogue /Website or from the Library Record. If the missing book is part of a series or volume set, the User will also be responsible for paying the overdue fine and replacing the entire series or complete set.
  • A user can renew the books once at the library’s lending section or through the WebOPAC; it should be done before the due date.
  • KRC staff can recall a book any time before the due date by email or telephone. The overdue charges may be increased for failure to return a book on time when it is recalled.
  • KRC maintains an online union catalogue (Web OPAC) for all its campuses, allowing users to check whether a book is available at the KRCs/School Libraries or other campuses libraries.
  • A user can log in using their Institutional ID to know about the items borrowed, their reading history, renew the borrowed books online, and the availability of books. It also allows users to recommend books. URL: https://librarysystem.gitam.edu/
  • Through the Inter Library Loan (ILL) facility, KRC will also arrange to get books from other campuses if necessary.

  • Users are not allowed to use their personal electronic devices like laptops, tabs, Kindles, iPads, etc., inside the Digital Library.
  • The users of the Digital Library should firmly enforce silence.
  • The Digital Library is not for combined group study and discussion.
  • Chatting or playing video games are strictly prohibited.
  • It is strictly forbidden to spit, smoke, sleep, gossip, or eat in the Digital Library.
  • Users only can access permitted websites for educational purposes, while using the computers.
  • Do not remove/misplace the computer's accessories from the device.
  • Library users are advised to use their access to online resources wisely and appropriately.
  • Engaging in any general computer use, internet browsing, chat, social networking, or software downloads is forbidden.
  • Never swap the Digital Library computer setups or share them with other peripheral devices or computers.
  • Users who damage the computers or media equipment are responsible for paying for the necessary repairs or replacements.
  • Strict action will be taken against the defaulter for Infractions of these policies.
  • The librarian can deny access to the Library's services to any or all users.

  • To encourage and support paperless reading, Kindle Paperwhite E-book Readers preloaded with a variety of e-books can be checked out for 07(Seven) days with the option of one renewal for seven more days at the lending section.
  • The user should check the working condition of the Kindle before borrowing it.
  • All faculty, Students, and staff members can borrow Kindle e-book Readers.
  • One user can borrow only one Kindle at a time.
  • Users are prohibited from tampering with the content or settings of the Kindle.
  • A user cannot download the books on Kindle; only content from the Library's authorized source will be preloaded and given for use.
  • None of the content on the Kindle may be copied onto other devices. Users are strictly prohibited from deleting the existing content.
  • Users cannot link the Kindle device with other devices, social networking media, or share content online.
  • While returning, the battery must be sufficiently charged so the library staff can ensure that the device is in working condition. All parts of the kit must be returned to complete the check-in.
  • User will be responsible for the entire replacement cost of the Kindle in case of any damage or loss (of any part of the Kindle) while it is checked.
  • If using the audio feature of Kindle books within KRC, use headphones so that others are not disturbed.
  • Kindles can be borrowed and returned in person only.
  • A user can also use Kindles for reference within the Library sections.
  • When a user borrows a Kindle, they must sign the Kindle Borrower Agreement.
  • Users violating the abovementioned rules are liable to pay overdue charges.
Loan Rules
  • Loan Period: 07 days
  • Renewal: Once for 7 Days
  • Restriction: 1 Kindle per Borrower
Fines

The overdue fine for a Kindle Paperwhite is Rs.100 per day.

Damage and Replacement Charges

For a lost or damaged Kindle Paperwhite, the borrower must pay a fine equivalent to the actual replacement cost of the Kindle Paperwhite, its leather cover, charging kit, plus a processing fee of Rs.2500 and any outstanding overdue fines.

Replacement cost will be based on the model and the current price on the Amazon website. (If the product is unavailable, an equivalent model will be purchased.)

A processing fee of Rs.1000 will be charged for procuring damaged accessories.

  • Students are required to scan their ID card while entering the library. All the books issued by the lending section are checked at the security desk to avoid pilferage.
  • The textbooks can be renewed once only for two weeks, i.e., a student can keep the textbook for a maximum period of four weeks and after that it cannot be renewed further. However it can be renewed, if there is no demand as on date.
  • The members are advised not to carry bags, jerkins and raincoats etc, into the centre.
  • In case a book is lost, the borrower should pay double the cost of the book if it is an Indian publication and four times the cost of the book, if it is a foreign publication and is liable for fine also.
  • Before borrowing and accepting the books, the borrower has to make sure that the books are in sound condition.
  • Absence and illness are not acceptable excuses for exemption from paying overdue charges.
  • Users are required to submit their identity card while entering the various sections of the centre.
  • Before entering the centre, members should deposit their own textbooks, books borrowed from the library and any other printed material in the property counter and obtain a token from the security guard. They will be permitted to carry into the centre notebooks, white papers and valuable belongings only.
  • Strict silence is enjoined inside the centre, as it is necessary for quiet study.
  • Smoking/ sleeping/ using cell phones/ indulging in discussions/ any other activity detrimental to academics is strictly prohibited.
  • Pursuits is strictly prohibited and those involved in such activities will be asked to vacate the centre immediately by the centre personnel.
  • The centre staff are also available to extend necessary help if needed.
  • Photo identity card is not transferable.
  • Books and journals are to be borrowed in person.
  • Users are cautioned not to throw any litter in the centre.
  • Users are advised not to misplace books on the racks from their original position.
  • Production of ‘No Dues Certificate’ from the centre is essential for obtaining hall ticket to appear for year/ semester end examinations.
  • Loss of identity cards should be reported immediately to the librarian and duplicate card will be issued on payment.
  • Fine will be levied for late submission of books as per the decision of the management.
  • Web OPAC is also provided. The members can browse the database from anywhere in the campus.
